Closing a phase or project

What each close outcome does to tasks, work orders, purchase orders, draft estimates and invoices — and exactly what Reopen brings back.

Closing a phase or a project uses the same sheet either way: pick how it ended, and the sheet only asks about what that outcome actually changes.

The outcomes

A phase offers three: Completed (the work is done — this is the only outcome that touches billing), Unsuccessful (it ended without the result you wanted), and Cancelled (it's not going ahead). A project offers Completed and Unsuccessful only — a whole file isn't "cancelled" the way a single phase can be.

Billing (Completed only)

Pick No invoice, Invoice now, or Invoice later for the work that closed. Unsuccessful and Cancelled skip this question — no invoice goes out either way.

Everything still open

Tasks, work orders and purchase orders still open on the phase (or the whole file, for a project close) default to cancelled. The project's own site inspection is asked about only when you close the whole project — closing a single phase never touches it. Tick Keep open on a row to leave it exactly as it is; a row the app has locked (already billed, waiting on a subcontractor invoice, or one you don't have permission to touch) shows why and stays open regardless.

An Unsuccessful close also withdraws any outstanding signature request and voids every draft invoice on the file — the work isn't happening, so nothing keeps chasing a bill or a signature for it. A Cancelled phase additionally cancels its own draft estimates and their approval requests, since they were never sent to the client.

The note

One optional note per close, saved to the project's Notes. Leave it blank and the app records a plain line on its own (for example, "Phase closed as cancelled") so there's still something on file.

Reopening

Reopen restores what closing cancelled, wherever there's something safe to restore from:

  • Tasks come back to exactly the status they had before the close — open or in progress.
  • If a phase closed Cancelled, its draft estimates and their approval tasks come back too.
  • If closing the project dismissed its inspection as not required, reopening the project puts it back on the calendar's needs-inspection list — unless someone had already dismissed it by hand before you closed, in which case that earlier decision stands and reopening leaves it alone.

Work orders and purchase orders stay cancelled or voided. A cancelled work order or a voided purchase order may already have gone out to a subcontractor as a cancellation notice — reopening the job can't un-notify them, so that decision is final. A voided draft invoice stays voided for the same reason: once a close has acted on something, reopening doesn't reach back and undo it.
